- Do you struggle to get things done in a normal day?
Do you wonder why other people seem to get
so much done and you seem to be spinning your wheels?
I'm Maggie from Small Business Boss,
and today I'm gonna share with you
exactly why productivity systems that you have learned
do not work for you and what to do about it.
All right so if you're a small business owner
like I am, and I'm like most of you are,
you probably struggle with you productivity.
Even if you are a type A achiever
and you are really good at getting things done,
you might be like sometimes things don't seem to work
according to plan.
Now I wanna tell you that this is not your fault.
It is not your fault because you
are a small business owner,
and the way you manage your time has to be done differently.
So I wanna provide you with three specific tactics
to help you make the most of your days, weeks,
and months so that you can be more productive
and ultimately get things done.
As small business owners,
we have so many ideas.
We have so many things we wanna do.
We have big dreams, a new idea pops up,
and all these things are always on the go.
And what happens is we have too many things
competing for our time and attention.
When you're an employee,
what happens is your boss tells you what
you're supposed to be working on,
and you normally have a few key things.
And there's a reason why that works.
Now as a small business boss,
what you wanna do is limit your priorities.
Limit those goals and things you're gonna be working on
so that you're not running around
like a chicken with your head cut off.
Now what do you do?
I like to limit that to three specific things
in a 12 week period.
That might sound a little crazy,
but stick with me for a second.
If you actually focus in on only doing three main things,
everything else you put in the parking lot,
you say not gonna do that right now.
And then what may happens is you're able to become
on a day to day basis way more productive.
The second thing you wanna do to become more productive
as a business owner is be open to reflecting
and recalibrating.
I don't know about you guys,
but when I get an idea through my head,
I am full steam ahead.
Everyone watch out, get outta my way.
So what that means is sometimes I don't take the time
or the space to actually pause
and figure out what I'm doing.
I'm just like let's jump in, let's get going.
Sound familiar?
Yeah, so here's what you wanna do.
You really wanna bake time,
you wanna actually schedule time
every week and every month so that you're able
to look back at those goals you set,
those priorities, and really
reflect how is it going, what do I need to change and update
so I'm able to be most productive.
So I'm let's say you're working on a specific program
for a client and you're like,
oh wait a second this isn't quite going to plan.
Instead of continuing on with brute force
like so many times we do,
stopping, taking the time to really check in with yourself
and reflect back and then
set the right path forward is what will save you
from wasting so much time.
Finally you need a plan.
You need a daily plan.
This might be the form of an ideal day
in the way you set up your time every day
so you can maximize it.
You wanna be able to do a few specific things
in your daily plan.
How you set up your plan is gonna be different for everyone,
but here's the things you wanna watch for.
Number one is context switching.
So many times we waste half our day
switching between things.
Now what does this look like?
You start a task for client A,
and then oh you're in your inbox and then you're in Facebook
and then you're on Instagram,
then your project management system,
then oh wait you just lost 30% of your day
because all you're doing is flopping around.
And you feel really productive,
you're like oh I'm such a great multi-tasker,
but what you're actually doing is wasting
a whole lotta time.
The other thing you wanna do in a day
is create time blocks.
So my favorite time block in the day
is I create a time block that's called padding,
and in the padding time block,
that's when I do email, my project management system,
and check in on things like Facebook or Instagram.
That means throughout the day when that little
part of my brain goes, shh, Maggie,
go over to Facebook,
I actually say no, it's not time,
we're gonna do that at noon Eastern.
So having that time in the day to really work on that
makes a huge difference.
I also set aside specific blocks for
dealing with client correspondence
or you know new business activities,
marketing activities like you know actually
recording this video.
Blocking those into my days has really changed
how I work and made me so much more productive.
More importantly as a small business boss,
doing all of this has a payoff because you don't
work as much.
You are able to keep yourself focused
and on track and doing it in a way that you are not
working nights and weekends and always about the hustle.
Being a small business boss doesn't mean
you have to hustle hard all the time.
It means you need to manage your time
really really effectively.
