Follow and see how you use Microsoft Flow, included with Office 365
to automate big and small tasks for you.
Hello and welcome to a new Friday Tip.
This is Microsoft Flow.
A smart service that comes with Office 365.
But as you probably have not heard of before.
And you're not alone.
Microsoft Flow is a little gem that has come in the shadow of all the other programs in the Office 365
And really deserve to and be shown
And it works like this.
For example, you take a program or service such as this one
and allows Microsoft Flow to connect it with another service.
such as Microsoft Teams
And then you have created an automatic task, a Flow that makes the task completely automatic for you.
In this tip, you'll see how we've set up Microsoft Flow to automatically send an email
every time we make a new Friday Tips on Youtube.
So we can share it in social media.
Smart isn't it?
And it's easy to do yourself.
Just follow this.
You can start by accessing your Office 365 portal as found on Office.com
And here on the right side you will find Flow.
Inside Flow, Microsoft has made several finished templates as suggestions for activity that you can automate.
Here you can get many ideas for tasks that you can set up to run automatically.
And just here Microsoft has created exactly what I'm looking for.
How to send an email automatically when a video is uploaded.
Click on this.
The first thing you have to do is to let Flow access the services you want to use.
In this case, tit's Youtube and my E-mail account Flow wants to use.
When done, you can click on <Continue>
Now you can enter the email addresses you want to receive your message, like this.
In the subject field I put in a text to be used each time the message is sent
In the text, you see that I have dynamic fields like this one
or like this one.
Such as the title of the video and the link to the Youtube video that changes from video to video.
You can insert the text as you like by entering it here on "Add dynamic content"
and choose from all the different fields like this.
As you can see here, I have put a time delay between when the Youtube video comes out
and when the email is sent out to about 1 hour after when everyone is at work.
To do this, press the plus sign and insert the Delay feature as Microsoft calls it.
Now you are ready and can save.
And if you want to test your new Flow, you can do it right on the right. just click test.
And best of all, it just works.
There is so much you can do with Microsoft Flow that it's worth taking a look.
Here there are endless opportunities to get rid of boring routines
or get ideas for brand new and smart ways to do things that you did not know previously were possible.
