Profit First Without All the Bank Accounts | Xero - Duration: 11:49.

hey it's patti scharf CPA and co-founder of catching clouds the leader in

e-commerce accounting today I'm gonna talk about profit first by Mike Michalowicz

I actually looked up how to say his name

because I kept butchering it and all the other videos anyway so I want you to

stick around to the end because I'm going to show you how we apply this

using Xero in our own firm but I need to tell you a little bit about the book is

this isn't going to be a review or summary necessarily of the book but I do

want to give you enough information so that you see where I'm going when I show

you how I do this in Xero alright so let's get started so I read profit first

several years ago I know quite a few accountants who are either friends with

Mike or they are certified profit profit first professionals or both and I just

kind of wanted to see what it was all about and what was going on and as I was

reading it I noticed there was a lot of personal finance concepts in the book

and it and I think it's great I think he did a great job of pulling together all

these different concepts and bringing them together for a business owner to

understand how cash flow works and how to set themselves up for success

financially with their business the first one is pay yourself first so maybe

you've heard this like when you got your first job or something like that and

they had a 401k and they said hey you need to put aside you know 10% or as

much as you can to have it come out of your paycheck you won't even see it you

won't spend what you don't see that concept is really critical in profit

first the other concept that I noticed just kind of jumped out at me is the

envelope system so let's say you were making $2,000 on your paycheck and you

had to pay for rent and groceries and clothing and fun money and stuff like

that what they would say is hey until you're familiar with how to manage your

finances use it all with cash so you you go to the bank you get $2,000 out and

you get a bunch of envelopes and you put $100 here and $500 there and $200 there

for all of these different purposes and then when you need to buy something

you only use the money that's allocated for each of those individual things

again great concept especially if you're just learning how to manage your

finances so all of this is pulled together really nicely for a business

owner to help you understand how to manage cash flow how to make sure that

your business is profitable from day one he also talks about concepts like debt

and setting up an emergency fund and different stuff like that I'm not going

to go into all that I highly recommend you read the book I think it's great for

everybody whether you're a seasoned professional or not I think it's got

great concepts in there and he does a great job of pulling everything together

there was one thing that he suggested that I thought was logistically

burdensome and somewhat unnecessary and that was the idea of setting up

different banks so what are you saying was create a separate bank account at a

different bank from where you normally Bank and set up a bank account to

collect profit set up another bank account to collect money for income

taxes and don't touch those unless you are specifically like its distribution

Day for getting some of your profit out or it's tax day and you need to pay your

tax bill otherwise it needs to be at a different bank so that you're not like

borrowing it you know for other purposes for operating expenses and things like

that and he's saying that if it's at your own bank then it's gonna be too

easy to borrow money from there so I guess my first reaction was a little bit

judgmental where I'm like hey you you're in charge of a whole company just pull

up your britches and do the right thing if it's for taxes don't spend your tax

money but I realized that sometimes that's easier said that done and so I

understand where he's going with that and and I think that he's on the right

path but me as an accountant like I just didn't want to go through all the hassle

of setting up a separate bank account and pain associated fees and all that

other crap so so what I did is I came up with my own method and I want to show

you how I use it so this is how I do it in Xero you can do it in QuickBooks

Online you can do it however you want but this is how I do it

all right so I've got a couple of different accounts here I've got one for

the checking account one for the payroll account and one savings for operating

expenses okay checking account is just where all the money flows in and out and

whatever payroll is only for payroll I will keep one month's worth of payroll

in there at the most usually I only keep the next upcoming payroll amount in

there and then everything else is going to be sitting in the operating expense

savings account so it's collecting savings interest in things like that so

let's say you get a payment from your customer for ten thousand nine hundred

twenty-five dollars it gets deposited into your account you code it to sales

actually in this case ten thousand is sales and nine hundred twenty-five

dollars is sales tax that you've collected now we don't want to spend

that sales tax just spend it we want to make sure that it's there when it's time

to pay in your sales tax liabilities so the first thing I did is I transferred

all of this deposit over to the operating expense savings account okay

so if you go look at the savings account you will see a deposit over here of ten

thousand nine hundred twenty five dollars you can do this online

super easy okay so here's what I'm doing the first thing I want to do is

segregate that 925 and set that aside for sales tax liability with the other

ten thousand dollars that came in I want to split that up into the different

allocation percentages that I've identified for my business so in this

case in this example it's going to be 15% for profit it's going to be 25% for

owners compensation it's going to be 15% for income taxes and the remaining 45%

is going to be for operating expenses so when I go to profit first allocation

here's the 925 that I've set aside okay and I've set that up in a current asset

account called savings sales taxes so this is going to show up on my balance

sheet right and then with these three other ones profit savings owners

compensation and income taxes I set aside fifteen percent

profit 25% for owners compensation and 15% for income tax all the rest of it is

going to be sitting in operating expenses okay so now I've got 4,500

dollars sitting in operating expenses which non coincidentally is 45 percent

of that 10,000 okay and then I can just transfer this back to the payroll

account when I need to use it I can send it to the checking account when I need

to use it and everything is good now why do I do this why do I go through the

hassle of doing this if you look at the dashboard you will see here's the 3000 I

transferred to payroll the checking account the checking account is

basically where it was to begin with and savings account you'll see only has

fifteen hundred dollars in it but if you go to the balance sheet you'll see the

actual balance in the savings account is seven thousand nine hundred twenty-five

dollars and you may be going to wait what here's what I did if you drill down

into that savings account I have balances for each of those

different ones okay let me show you how I got there okay so

if you go to the chart of accounts you'll see that I set up these different

current asset accounts I set up one for profit and one for owners compensation

income taxes sales taxes emergency funds okay then I went to balance sheet and I

edited the layout so edit this layout and then I selected all of these

accounts and I grouped them into an account called savings account so I

created an account that's called savings account and when I set it up I checked

this box that said show summary only that way you won't see all the details

of all of these accounts you'll just see that one savings account number okay

so when you're looking at your dashboard you only see the amount that's left in

the operating expenses savings account because everything has been transferred

to a current asset account so they're actually not in here if you look

in here it's all been moved out as a spend money transaction or been

transferred to another bank account or something like that so there really is

only $1,500 in this savings account according to your accounting but then

when you look on your balance sheet you will see you will see the true balance

that's in your savings account so this should actually match what you see on

your bank statement with the bank because all that money is still in the

bank it's just you've earmarked it for a different purpose so it doesn't show up

on your dashboard so hopefully when you're looking at how much money you

have to spend when you're looking at your dashboard and zero you know oh I

only really have $1,500 left for my operating expenses so there are

advantages and disadvantages to this method as you might imagine advantages

are you don't have to deal with all those different multiple bank accounts

another advantage is when you look at the dashboard you're you're not seeing

all that other savings so it's it does achieve that out of sight out of mind

kind of a thing but the disadvantages are it's really easy to get to like if

you're if you're managing your books by looking at your bank account which I

would never recommend it's going to look like money is there and available for

you so you really need to trust your accounting and then the other downside

is you have to kind of stay on top of it there's some ways of combating that and

actually Mike McCalla wits talks about that in his book as far as how to handle

your bill payment situation and things like that to keep it kind of manageable

and under control but this method works a lot better from for me one of the ways

that I manage it that requires a little less headache and administration which

maybe you might want to wait until you're a little bit further along in

your journey is I'll just see how much money is a good balance to keep in my

checking accounts so that I I know I'm not going to overdraft stuff let's say

three thousand dollars or five thousand dollars or one thousand I don't know it

might be different for your business and then I keep just one paychecks worth of

money in the payroll account everything else gets transferred to

savings account and then I allocate it out based on percentages and things and

that's all there is to it I hope you found this video helpful if you did

PS: I welcome you to Saptarishi's astrology YouTube channel. This time we have something new for you. It is about the festivals coming in the month of September and its importance for the same I welcome Shri Sunilji. Greetings Sunilji.

SK: I welcome you Poonamji and your channel as well. And the person to bring us together, Sunil John as well.

The religious activities going around & according to our Hindu beliefs, he is the person to instruct you guys right on time and we come in contact for the same, which is really appreciated.

This time Sunil John instructed to give information on Panchang for the monthly festivals and I will be discussing the same today with you all, about their importance and their names.

Care to be taken here is that, from Jammu Kashmir to Kanyakumari we have different Panchangs. So it is quite obvious that some festivals are according to traditional beliefs and some as recognized by people.

Most of it would be same except for some minor differences.

PS: I would be sharing the screen with you. The names of the festival as seen on the screen like Ekadashi (11th lunar day), Pradosh vrat (13th lunar day) etc., we will be discussing more on that.

SK: See, during the entire lunar month Ekadashi Vrat (fast) or Pradosh Vrat is kept for lord Shiva. Puranmashi or the full moon day special fast is observed for Moon. Amavasya or the new moon day for deceased ancestors.

Surya Sankranti (movement of moon in particular sign) those have weak sun in their chart or in not a good position and also for Dus Mahavidyas (ten forms of goddesses).

In the same month even Shradh Paksha is starting (offerings for deceased ancestors on specific lunar days) and we will be also talking about it.

PS: Yes, as and when September month starts slowly all the festivals start to begin. That is why September Panchang has something special for all of us.

SK: If you see entire world is in the same festival. In August after Raksha Bandhan all the festival starts. Every festival has its own importance.

As you have shared on the screen the first one is Chatti Pooja celebrated in Bihar is on 1st September 2018, after which is Krishna Janmasthmi (birth day of lord Krishna) & Dynaneshwar Parv on 3rd September.

Krishna Janmasthmi is of special importance in India and all over the world. In Tretayug, Dwaparyug & Kaliyug lord Krishna is known for various qualities in all the times. This festival is important as it symbolizes love and teaches us to fight for our own rights.

Krishna Janmasthmi everyone knows that…

PS: People fast and meditate.

SK: people make sweets out of coriander seeds, fruits etc., and after Krishna's midnight hour birth take charnamrit (nectar from lord's feet) and offer worship to moon, which is of special importance on that day and break their fast as it is a puja for ladoo gopal (one of the name of lord Krishna)

ladoo gopal is referred to child Krishna, who was born in prison. This also represents freedom from bondage's. People meditate and fast on that day to beget child and also fulfillment of their desires. After that is Dynaneshwar Parv or ovee Navmi.

PS: Here I would like to ask you one thing, do we need to do something special for Krishna Janmasthmi?

SK: As I said this is Puja for ladoo gopal, those who have problems from their children, or do not have any children or getting delayed for them doing Santan Gopal Mantra is of special importance.

One needs to write Santan Gopal Mantra on Bhojpatra (Himalayan Birch leaf tree) and meditate on lord Krishna. If you read it is given as Santan Gopal which means Gopal blessings helps to overcome problems in getting child. And hence it becomes very much important.

In Devi Bhagwat it has been said that if this Ashtami continues till next day and mixes with Navmi (9th lunar day) it holds special importance for worship and meditation.

When all tithis (lunar days) were worshipped and 8th and 9th lunar day was kept separate, it was not so acceptable to goddess who said that they are not worshipped. As said in Muhurtha Shastra that 8th & 9th lunar days are not taken.

They went to Lord Narayana (Vishnu) and asked why this discrimination with us? God replied okay will do something for that, so one was decided for lord Krishna and another for lord Rama.

So this increases the importance of Ashtami and Navmi by lord Rama. As otherwise Chaturdashi and Navmi are Rikta tithis which are usually avoided. So when Ashtami continues next day and mixes with Navmi, importance of worship increases.

On Krishna Janmasthmi, just by saying that getting a child is said to be incomplete, as happiness from children also counts. This day holds special importance of butter and mishri(sugar).

This is offered to lord Krishna, by placing the idol of ladoo gopal that day, as it is said to be his favorite. In Northern part of India, we have got lot to learn from our families where we offer food three times a day, then worship etc., same as we do for our family members.

Like changing clothes as well. That is why this Ashtami is important with offering peacock feathers and lord Krishna is placed on special small swing and then offering food. Then after midnight hour, if Ashtami continues with Navmi its importance increases much more.

So this is the importance in North India, not only Northern part but in entire India. When we worship lord Krishna, he will be accompanied by cow, flute and Radha as well. So one by one all these all things are associated with him.

After that we have Go Navmi, where cow is worshipped. Gaudhan is of special importance in our religious texts. That day cow has to be worshipped. So according to Hindu religion in our calendar in the same month we also have Teacher's day, as seen on the screen.

It is birthday of Dr. Sarvepalli Radhakrishna, one thing I have noticed is in modern times we call as teacher's day and some also call as Guru Purnima.

Then it is Vasudev Chatt Pooja, Vasudev is one of the names of Lord Krishna. It is celebrated as Chatti, after his birth on Ashtami after 6 days, it is not chatti tithi. As it is said in our tradition that chatti should be celebrated for child to keep it away from bad spells and omens.

Small children are very beautiful and artistic in their way, so there are likely chances that they may catch an evil eye. So this puja has to be done according to our Shastra's. Goddess of it is Skand Mata or Shasthi Devi; she rules it and protects the child.

When a child is born, we need to be careful about the child till 12 years of his age. As there is Putna for every year after child birth. Putna was sent to kill lord Krishna.

So you need to understand for every month in every tithi there is a Putna who is harmful for the new born child. So mother has to be careful for her child. In future if I get time, I will discuss on different types of Putnas and remedies for the same.

PS: This is especially for those who have small children, and they would like to know more about it, as you said just now about Putnas in every month or year. Sooner we will try to know more about it from you.

SK: The session may get prolonged, but yes in that we will see for children about to 12 years of age, every year what can be done to get a good health. We see Balarishta yoga from moon. See, if a child gets arishta (calamity or disaster) how will he proceed further in life?

This is decided by karmas about the problems which will occur and one needs to do puja for that. You can also understand that chatti puja is part of it in which Skand Mata protects the child.

After that we have Sutre Shah on 9th September and Ganesh Chaturthi on 13th September. Chaturthi (4th lunar day) comes in every month. In month of Krishna month, its importance increase accordingly.

After that we have a special tithi called as Rishi Panchami which has its own importance. It is important because there are certain fasts to be done for women. Every month during certain days a women body needs rest.

During those days often ask shall we worship or not, and if we worship wouldn't that create any problem? So Rishi Panchami is a day blessed by Saptarishi's that any mistakes done during those days of the month one can overcome those mistakes by observing fast or meditating upon Saptarishi's

PS: And how can one observe fast on this day? Please tell us about that, as there are many who may not be knowing or hearing this for the first time.

SK: See, this seems to be a controversial topic. As everyone have their own beliefs. All I would say is during certain days of the month women don't feel healthy.

PS: What all I understand is during menstrual periods for women, if any mistake happens unknowingly they can observe fast on this day to rectify it.

SK: I haven't said anything specifically like that you know.

PS: I understand what you are saying.

SK: I just said few days in a month women are at not at ease with their health and during those days if they feel they have worshipped god or anything like that.They can observe fast on Rishi Panchami day or meditate upon Saptarishi's. Their faults will be relieved.

As my Guru said that, see Shastra says even if you touch a Brahmin by any means, it is said to be a dosha. And accordingly in humorous way he also said that while boarding a bus, one must say that all Brahmins to stand on one side.

And this is not possible, so I asked Guru what could be the solution for it? He said one can purify oneself by bathing like in Ganga or in pilgrimage or by adding holy water or such places while bathing in bathing tub.

By doing so one can get rid of such dosha that is the reason I said that one can avoid it this way. See if we both are neighbors and I have many more neighbors there is one single pipeline supplying water to all. It is not necessary that environment of all them would be same.

If some incident has happened with someone in neighborhood, water is common for all so we can say even that water will be afflicted.

PS: Yes, I understand

SK: So that is why it is mentioned in Shastra's that during big festivals, by adding holy water to our bathing tub while taking bath, it will get you rid of the doshas. He even said that if Ganga is afflicted then how to overcome that? I said when holy sages bathe in Ganga it is purified.

Doshas of others are taken by Ganga, and that of Ganga is taken by holy sages. Similarly I said that on Rishi Panchami if they meditate on Saptarishi's, they get blessed and stay healthy.

After that comes Baldev Chhat, nowadays children win gold and silver medal in different Olympics activities, so the courage to win (baahu) Baldev is Lord Krishna's elder brother represents physical exercise.

So by worshipping Balaram on Baldev chhat, it is especially useful for those in bodily exercises. After that comes Radhashtami, which is well known festival in Barsane & Nandgaon village

Radha is also an incarnation of Lakshmi also called as Lakshmiswaroopa one is Vaikunthvasini (one who stays in Vaikunth) and also Bhulokvasini (one who stays in bhuloka)

PS: It is also called as Mahalakshmi Parv.

SK: Yes, it is also called as Mahalakshmi parv. And because it is associated with a birth of girl child in Barsane village there is Radha kund where this festival is celebrated, here people go for 2 reasons; one is those who don't have any children pray for a getting child & another to overcome any delays in marriage.

After that is Chandan Navmi which is celebrated for fragrance…

PS: before that Vishwakarma Pooja is left out.

SK: yes, it is left out, Vishwakarma is divine architect. Every month there will be some festivals, Vishwakarma puja you may hear many times in a year. People related with construction or creative work; do Pooja of their tools time to time.

Then is Chandan Navmi celebrated for fragrance in house and to avoid any snake curse. Then is Vaman Dwadashi, Vaman is incarnation of Vishnu for breaking ego and pride of King Bali, who said what will this small child do to me, where Vishnu as Vaman incarnation asked 3 parts of land.

When he asked for 3 parts of land, Vaman avatar of Vishnu grew huge in size, in one part he covered whole earth, in another part he covered entire universe and when it came to third part king Bali told him to keep his foot on his head.

This day is for spread of wisdom, knowledge and to overcome pride or ego. Dwadashi tithi (12th lunar day) is associated with lord Vishnu.

21st September is Muharram and from this month 25th onwards starts with Shradh Paksha. Shradha means Shradh, to bow down in faith. This is usually done for deceased ancestors in family, and for those who have died because of an accident or unnatural form of death. During these days the deceased ancestors come closer to earth.

After that as in every month there is Ekadashi Varat, fast observed on this day pleases lord Vishnu, there are two one during waning &another during waxing period of moon this month it is on 6th and 20th September 2018.

Fasting on this day gives fulfillment of desires; we have told the importance about different types of ekadashi's like Bhim ekadashi etc., it is for the nurturer of the world Shri Vishnu.

After that comes Pradosh Vrat, is done for Lord Shiva or Ashutosh, the fast is kept on 13th day of the lunar month. This month it falls on 7th &22nd September 2018 it is also called as Trayodashi Vrat. On this day lord Shiva is worshipped with his 1008 names.

On this day take wheat bread (roti) add raw milk and Gangajal to it. And if you have Shivlinga made of Sphatik (also called as Quartz crystal) or made out of Narmada water or mercury, you should offer water slowly on this shivling and recite 1008 names of Lord Shiva.

Lord Shiva is said to be power of time, by worshipping on this day one can overcome fear of death and avoids any misfortunes. I will tell you something here, see sometimes it happens that medicines do not work and the disease goes on spreading.

There is one Puja called as Vaidyanath Puja. Vaidyanath is one of the 12 Jyotirlingas of lord Shiva. Vaidyanath gets its name from the word Vaidya which is one of the forms of Lord Shiva, so when this Pooja is done; medical treatment works faster reaching to the root cause of problem.

PS: So you mean to say, If anyone is not able to get the root cause of illness, by doing this Pooja one can get healed properly.

SK: Your healer will be able to give you fast and effective treatment. When I had to get operated for kidney, I had experienced this at that time where my doctor was able to give me effective treatment. So that is why I am saying that observing fast on Pradosh increases longevity and doctor is able to give right treatment also.

After that comes Puranmashi (full moon day) which; comes every month and fast is observed for moon. Moon represents wealth, so by worshipping moon on this day it increases our wealth.

Then comes Surya Sankranti, what is its importance? Whenever Sun enters into a particular zodiac sign, it is called as transition period from one sign to another. When Sun is of 1 and 29 degrees it is called to be in transition phase.

It is when sun leaves one sign and enters another. When a child is born under Sankranti, there are certain afflictions seen in the chart. Parashar has mentioned 16 different types of afflictions for those born on this day.

Problems can be related to bones, eyesight, paternal problems. Happiness can be short-lived. Punishment from king or government. So for people born on this day they can make flour balls with jaggery inside and feed the cow on that day.

If it is Kapila cow or reddish brown it is said to be very good to feed such, otherwise any other cow will also do. This will ward off any misfortunes for those born on Sankranti day.

PS: We proceed to next slide.

SK: There is a very nice vrat in this month called as Rohini Vrat. You are a woman, mother and a housewife. You need to listen this very carefully. Rohini is a constellation and one of the wives of Moon and he was attracted to her very much and used to be with her always.

And less with other wives for which he was also cursed. So every month in the beginning and almost towards the ending moon transits Rohini constellation which is said to be his favorite.

So when moon is transiting this constellation, women observe fast to increase happiness in their marital life. Husband will love his wife just like moon did.

PS: I had never heard about Rohini Vrat before this, so there may be many like me who may not have known about this before. But this was something completely new for me so I thank you in advance.

This is very good for those women who may have some problems related to their life partner. They should definitely do this Vrat.

SK: Everyone has some complaints with their life partner. This fast helps to increase love and attraction between partners and helps to maintain the relationship. This is also done to increase husband's longevity. This is also yearly during Karva chauth when moon transits Rohini nakshatra

I always respect women power because during fast they hardly eat anything or sometimes do not and pray for their husband's well-being and longevity. It is aptly said "Nari tu narayani" (Women power is praised by gods as well)

After that comes Jayantis. 3rd September is Krishna janamotsav (birth day of lord Krishna), 12th September is Varah Jayanti and Vaman Jayanti is on 21st September about which we have already discussed.

After that comes Dus Mahavidyas (10 super knowledge). These are 10 special vidyas or knowledge with their tithis coming every month. On 3rd September is Adyakali one is Kali & another is Adyakali. On 12th September is Bhuveneshwari and after that is Dwadash (12) Siddh vidyas and 2nd September Vind vasini.

PS: Could you please tell us a bit on Dwadash Siddh Vidyas as even I would like to know.

SK: Just like 10 Mahavidyas these are 12 Mahavidyas with 2 sub vidyas included in that. Goddess has different forms like when we chant Lalitasundari Mantras, we recite names for Rajrajeshwari, Bhuveneshwari, Triloksundari, Tripurasundari.. so these are the different forms of devi.

Just like 10 mahavidyas as I said before for example Bhadrakali, similarly these are 12 mahavidyas in this Vindh vasini associated with Vindhyachal mountain ranges is of special importance.

This almost covers monthly festivals with their importance and differences accordingly. Fasts should be done accordingly and one should also give in charity, donations as per one's capacity. Doer is benefited accordingly
